Nashik offsites, planned so every hour counts

Vineyard and Igatpuri offsites for corporate teams from Pune and Mumbai: venue, transport, sessions and activities, planned together in one schedule.

Who it's for

For the people who have to make the days count

This page is for HR, People and Culture, L&D and business heads planning a reset, a strategy session or a team day away from the office. You are usually weighing three things: a wasted day, someone left out, and something your leadership can see afterwards. The plan is built to answer each.

Typical group: about 25 to 150 people, one night and two days.

Lead time: usually six to ten weeks for a domestic offsite; longer for large groups and peak dates.

What's included

What's in your offsite plan

Each item is a document or an arrangement set out in your proposal, for you to review with us.

  1. Venue shortlist and site visit. A short list of venues compared on distance, rooms, meeting space, rain fallback and access, with a site visit arranged before you commit, subject to the venue.
  2. Transport plan. Pickup points, vehicle allocation and timings with buffers, confirmed with a transport partner.
  3. Agenda. Working sessions, activities and free time in one schedule, with rooms and seating checked against it.
  4. Activity safety plan. For each activity: the area, the guidelines, the first-aid contact, the rain fallback and who runs it.
  5. Food and drink plan. Menus with a dietary matrix confirmed with the caterer, and alcohol-free options at every meal and evening.
  6. Rooming list. Built from your names, signed off by you and shared with the venue before arrival.
  7. Run-of-show and responsibility matrix. Who does what, where and when, with escalation contacts agreed in advance.
  8. Recap. Where agreed, a short written recap: what ran to plan, what changed, feedback gathered and what we would change.

Optional: an evening set by Musical Beats, our in-house live band, on the first night. Formats depend on the venue and the evening.

What we plan for

Where offsites slip, and what we do

These are planning steps we carry out for every offsite. They are not a record of past events.

  1. Where it slips

A coach runs late on the ghat section

    What we do

We set pickup times with buffers, confirm each pickup with the transport partner the day before, and share one contact per vehicle with you.

  2. Where it slips

    Rain closes the outdoor session

    What we do

Every outdoor activity has a covered or indoor fallback agreed with the venue in advance. For monsoon dates we shorten outdoor blocks and add travel buffers.

  3. Where it slips

A dietary or alcohol-free need is missed

    What we do

We collect needs with your participant list, build a dietary matrix, confirm it with the caterer and check it again before the first meal.

  4. Where it slips

    Sessions overrun

    What we do

The agenda carries buffers, and an activity lead is named for each block. We agree with you in advance what gets cut if time runs short.

  5. Where it slips

Wi-Fi is weak at a remote property

    What we do

We ask the venue for connectivity details at the site visit and agree a fallback for any session that depends on it.

  6. Where it slips

    A room is wrongly allocated

    What we do

The rooming list is signed off by you, sent to the venue before arrival, and checked against their allocation with a planned check-in order.

How we work

Five stages, one plan

The same five stages for every event. Each ends with something you can check.

  1. At brief

    Brief

You tell us the purpose, headcount, dates, starting cities and constraints, by form or call.

  2. After a complete brief

    Plan

We send one proposal with venue options, a draft schedule, what drives the cost and who is responsible for each task.

  3. The weeks before

    Prepare

We confirm venue, transport and catering with each partner, identify permissions and insurance requirements, agree rain fallbacks and run the readiness checklist with you.

  4. Event days

    Coordinate

The run-of-show and responsibility matrix are in use, every task has a named owner, and escalation contacts are agreed in advance.

  5. After the event

    Review

Where agreed, we send a short recap: what ran to plan, what changed and what we would change next time.

Proposed process, applied to every event.

Company size

How an offsite changes with your size

Headcount ranges are a rough guide. No fixed packages and no price list.

Small companies and startups

About 10 to 100 people

What you're dealing with

One or two people decide, often within a week.

How we tailor itA compact offsite or day outing, a shorter venue list and one clear proposal, planned with you from first call to recap.

Mid-size firms

About 100 to 1,000 people

What you're dealing with

HR and finance both sign off, and budget is released in stages.

How we tailor itA proposal phased to match your approvals and a run-of-show you can share upwards. For larger groups we plan lead time and rooming with the venue and transport partner, and can split travel into batches.

Large enterprises and MNCs

1,000+ people, or several locations

What you're dealing with

Vendor onboarding and compliance checks come before booking.

How we tailor itTell us what your procurement team needs and we will say plainly what we can provide and what is not yet in place. Large groups can be planned as batches by location or team.
